Connecting Process to Cloud Solutions
Existing State: A public agency sought a new PMIS to replace their aging system that didn’t quite meet current needs. They completed high level requirements for what their business needs were, including integration, migration and reporting outputs. They were interested in different PMIS options and the recommended implementation approach and strategy.
Approach: Our team proposed Kahua as the PMIS solution based on their requirements. We spent significant time aligning requirements to solution design while also planning on all implementation components. A summary process was created with detailed process mappings based on current business needs. The solution included both “out of the box” configuration, app customization and new application development. Over 300 projects were migrated into the new system and over 10 integration points were implemented. Full end user training was completed with bespoke training tools.
Result: Over 500 users were trained on thirty standardized and digitalized processes. The old software tools were successfully archived. Evaluation after go live justified an overall decrease of business process lag time; with the pay request approval process decreasing from over thirty days to one week.
